New Employees

Welcome to the laboratory! The following information is helpful for both new and returning employees to help with hiring, pay, leave, and other personnel questions. 

New Hire Paperwork

All new employees will need to meet with Andrea when beginning work at the laboratory. All UWRL procedures, leave policies, and reporting will be explained by the business services offices.

  • A completed I-9 is required to work at USU. Please bring two acceptable forms of picture ID (examples)
  • For automatic payroll deposit, please provide banking information (such as a check or routing numbers)

Pay

Hourly Employees:

Your hours need to be recorded daily on Aggietime.usu.edu. A short training video is available for you to watch if you need help.

  • Please make sure and note the project you are working on in the comments so we can charge your time to the correct place.  If you don’t know the project number, just write a description.  
  • Make sure and have all your hours entered by the end of day on the 15th and last day of each month.
  • For Aggietime hours please use the following as a guide:
    15 minutes =.25 | 30 minutes = .50 | 45 minutes = .75
  • The work week starts Saturday morning and ends Friday night.  
  • All overtime must be pre-approved.  
  • The pay dates for hourly employees are the 10th of each month for the previous 16th-30/31st and the 25th for the 1st- 15th.

Grad Student Employees:

The pay date for your assistantship is the first day of each month for the previous month's wages. 

All new graduate students are required to do a background check. You will be getting and email from TruScreen, make sure you go in and complete that. If you lived abroad for short-term service (e.g., mission service), you do not need to include those.

Full-time Employees

Safety Plans

All employees that work in the Environmental Quality Laboratory (EQL) or participate in field work will need to take the appropriate safety training. Safety training will be coordinated with your faculty advisor and documented with the UWRL receptionist. For more information visit our Safety page or talk to your faculty advisor. 

Keys

Supervisors must authorize and make key requests through the receptionist and provide an index number to the UWRL receptionist. Students will also be given a prox card to enter the UWRL building after hours. 

Processing usually takes one week. Keys must be picked up in person. Student and hourly personnel pay a $25 refundable key deposit at the time of pickup. Requesters will be charged an additional $25 for any abandoned keys and $5 for abandoned prox cards. If employees move to another building, they may take their prox card and we will remove access to the UWRL. You may also turn in your keys to the receptionist and they will turn in your keys for you.

Training

All new employees are required to complete their new hire trainings within 60 days of being enrolled. These include:

  • FERPA
  • Cash & Credit Card Training: This training has eligibility questions to determine which employees need to take the full course - you most likely will not need to take the full course.
  • Defensive Driving Training: You must take this training to drive UWRL and USU vehicles.
  • IT Security
  • Respectful Workplace
  • Cardholder Training: This is a training needed to use University P-Card (purchase cards) so you can buy things for your department. You may or may not need this based on your supervisor.
  • Respectful Workplace
  • Title IX: “Responding to Sexual Misconduct Training” is required for all employees and can be done in person or on-line.  

You will receive an email that provides instructions on how to sign into the ILS and complete the trainings. If you cannot login to the system, or do not get an email with instructions, please contact the UWRL Receptionist at uwrl.receptionist@usu.edu. For more information please see the USU HR website. 

Please let the UWRL Receptionist know when you have finished all of the trainings. 

Paycheck & Tax Information

Check stubs are available online, as are end of year tax forms. That information can be found in Banner Access, under the employee tab. You can also update your address, phone number, and direct deposit information should it change. However, you will need to visit the UWRL BSO office to make any changes to your W-4 allowances.

Workers Comp

If you are ever injured while at work, please get medical treatment if needed at WorkMed located at the Intermountain Logan Clinic at 412 N 200 E. If they are closed, you can go to the Instacare located at the window next to WorkMed. Please explain it is a work related injury and inform them you are an employee at Utah State University.  

You will also need to report the accident to Andrea Carroll in the Business Services Office.

Receiving a personal bill from any other facility besides WorkMed does not always just get paid.  If you receive a bill, please contact Andrea Carroll or USU Risk Management to make sure the necessary steps are taken to prevent the bill from going to collections. Please don’t assume that it will get paid without you taking action.

Full Time Employee Benefits & Insurance Information

USU HR will email you an a#@usu.edu email with instructions to complete your benefit sign-up. 

You can also visit the USU HR website at hr.usu.edu. Under the employment tab, you will check “New Employee”. From there, select “Exempt” or “Non-Exempt” to see a description of your benefits. Back on the main page you will find an employee packet with benefit information. Return all required forms to Human Resources within 30 days, whether digitally or in person. They will also automatically register you for in-person orientation classes to learn about your benefits. 

This same page contains information about parking passes and staff and spouse ID cards.
