Copiers & Printers

The color printer/copier is located in Room 214.

  • Paper sizes: 8 1/2 x 11, 8 1/2 x 14, and 11 x 17
  • Additional uses: two-sided jobs, overhead transparencies, large volume projects, and complex jobs. See the receptionist for information on printing transparencies

Other printers for general use are available in rooms 235 (allows up to 11 x 17 paper) and 316A. Both of these printers only print in black and white. Please use the printers in Room 235 and 316A, unless you need color copies, in which case use the printer/copier in Room 214.

Reminders:

  • All office computers can access any of the general use printers.
  • These printers are for UWRL-related items only.
  • Make any additional copies using the copier instead of the printers.
  • Please only use the printer in Room 214 for color copies, use the printers in room 104 and 239 for general use. 
  • Please let the receptionist know if any printer is low on ink or paper.

Personal Use of University Equipment

All property, supplies, and services purchased with University funds should be used only for University business. Under USU Policy #344, any personal use of office equipment such as computers and printers, or any other equipment, must be approved in advance by the employee's supervisor and should be incidental in nature. Any costs incurred by the University for personal use must be reimbursed by the individual to the University.

The University telephone system is provided for conducting official business. Local, toll, or long distance use of the telephone system for personal reasons should be kept to a minimum. Any costs incurred by the University for personal telephone use must be reimbursed by the individual to the University.

UWRL Vehicle Use

The UWRL has an assortment of vehicles available for project use. Vehicles must be checked out in advance with the UWRL Receptionist. Please see the receptionist for the keys and check-out sheet before your trip. The check-out sheet must be signed and returned with the miles traveled and the vehicle condition marked.

UWRL Vehicle Usage Rules

1. Seat belts must be worn by the driver and all passenger(s), and all state and local laws must be obeyed. 

2. Vehicles are for UWRL business only. Personal usage is prohibited. 

3. Non-USU/State personnel are NOT allowed in USU vehicles (no family, friends, pets, or hitchhikers).

4. The check-out form is to be returned with all information completed. 

Record the mileage of the vehicle upon return and the most accurate description of the gas level that you can give on the check-out sheet before you return it to the receptionist. Your checkout sheet is not complete without this information.

5. Any person driving the vehicle must be at least 18 years old and have a valid Drivers License.

6. All USU personnel MUST watch the USU driver training video prior to use. 

7. In the case of any accident, please fill out the USU accident report. If an accident involving another vehicle occurs, contact the appropriate law enforcement agency immediately, USU (435-797-1939), and the UWRL Business Office (435-797-3155). After hours, please call Wes Jensen at 435-770-3650.

9. The vehicle is to be returned clean inside and out. Any garbage removal, unreasonable cleaning or maintenance will be charged to the project. 

Please leave the vehicle as clean as you can. 

We know that vehicles are used for fieldwork and will be subject to getting dirty and normal wear and tear. However, they need to be in a reasonably clean condition inside and out for the next person using it. We plan to have the field vehicles (primarily the trucks) cleaned approximately once per week (or less frequently if it is not needed). When you return a vehicle, please make sure that you have removed any trash and have at least taken a few minutes to brush out/shake out any gravel/dirt/mud that may have accumulated on the floor mats. If the vehicle has become muddy or otherwise very dirty while in your care, please consider washing it before returning it or at least alert the receptionist so it can be cleaned before the next user takes it out. The receptionist has car wash tokens that you can use as needed. If you are checking the vehicle out for multiple days, you don't need to clean until the vehicle is returned.

10. Remove personal belongings 

Please remove all personal and field items before returning the vehicle to the receptionist. We will remove personal items/gear from the vehicles so the next user can proceed on their scheduled trip as needed. We’ll do our best to hold your items in a safe location, but please note that we can’t be responsible for the safety of your gear or belongings. If you accidentally leave something in one of the vehicles, please contact the receptionist who can arrange for you to access the vehicle to retrieve it or will return it to you if we have already removed it from the vehicle. 

11. Under "Condition", please report any damage, tire repairs, or operational problems & alert the receptionist to 
any issues.  

Report any active warning or maintenance lights on the dash (Check engine, oil, tire pressure, etc.). You should note these on the checkout sheet and directly alert the UWRL receptionist. These warnings represent direct safety issues we need to resolve as soon as we possibly can so that we can keep the vehicles in working order and not impact the next user of the vehicle.

12. If you cannot return the vehicle at the anticipated time, contact the UWRL Business Office. 

13. UWRL has its own gas supply. We attempt to keep the gas tanks topped off for your convenience. If you need to purchase gas on the road, pay for the gas and provide a receipt for reimbursement.

Most vehicles are checked out for day trips that do not require you fill up the gas tank to return to the UWRL. The receptionist will manage filling the vehicles with gas after you return. However, if you know you are going to return to the UWRL after normal working hours, please alert the receptionist so she can make arrangements if someone is taking the vehicle out early the next day. For those of you taking vehicles on longer trips, please talk to the receptionist about a gas card that can be used to purchase gas for the vehicle. A third, but non-preferred, option is to purchase gas on a personal card or with cash and submit the receipts to Business Services for reimbursement. This option should be used as a last resort in emergency situations only.

Mail

Incoming Mail:

Incoming mail is sorted and placed in employee and student mailboxes daily.

  • Employees mailboxes are located outside Room 104 in the Hydraulics Laboratory.
  • Student mailboxes are located outside Room 104 in the Hydraulics Laboratory.

Outgoing Mail:

UWRL letterhead and envelopes are available from the receptionist's office for official UWRL business.

  • Mail pick-up is at 9:30 am Monday–Friday from the wire baskets located outside Room 104 in the Hydraulics Laboratory.
  • Letters will be sent first class unless marked otherwise
  • Packages will be sent at the least expensive rate unless marked otherwise

Reminders:

  • To send multiple boxes or large items, notify Distribution at 7-1875 so the mail carrier will be prepared to collect them.
  • Personal mail is discouraged but will be collected if proper postage is attached.

Keys

Supervisors must authorize and make key requests through the receptionist and provide an index number to the UWRL receptionist. Students will also be given a prox card to enter the UWRL building after hours. 

Processing usually takes one week. Keys must be picked up in person. Student and hourly personnel pay a $25 refundable key deposit at the time of pickup. Requesters will be charged an additional $25 for any abandoned keys and $5 for abandoned prox cards. If employees move to another building, they may take their prox card and we will remove access to the UWRL. You may also turn in your keys to the receptionist and they will turn in your keys for you.

Custodial

All UWRL staff are expected to clean up after themselves. A facilities team provides cleaning services in offices, hallways, and other public areas. A message may be left on the door of the custodial office (on the first floor) if non-emergency assistance is required. For immediate needs, please inform Lacy Susman.

Carpentry, plumbing, machine & metal work, welding, and related services are available on an hourly basis. Changes are paid through the appropriate managed account and must be set up prior to completion. Work authorization must be signed by the faculty member or service account manager.

 

Room Assignments

Lacy Susman allocates all office space. Major professors should work with her regarding room assignments for students or visiting scholars.
